AI services

This overview belongs to Article 13.2 of the terms and conditions. It lists the AI services AIdoptIQ uses for work involving confidential information or Client Data, where that data is processed and how long it is retained by the service (Article 10.2). None of these services uses that data to train its own models.

Microsoft Copilot

  • Used for: analysis, summaries and drafting documents in Microsoft 365.
  • Account: AIdoptIQ's business Microsoft 365 account, with Enterprise Data Protection.
  • Training: prompts, responses and data from Microsoft 365 are not used to train models.
  • Processing: within the EU Data Boundary. Anthropic models in Copilot fall outside it; AIdoptIQ does not use them for this data.
  • Retention: conversations are stored in AIdoptIQ's Microsoft 365 environment. AIdoptIQ deletes conversations containing Client Data no later than 30 days after the end of the Engagement, as set out in Article 10.2.

Azure OpenAI in Microsoft Foundry

  • Used for: language models in applications and for analysing data.
  • Account: an Azure subscription of AIdoptIQ, in an EU region. If an Application runs in the Client's cloud environment (Article B2.7), the settings of that environment apply.
  • Training: prompts, responses and training data are not used to train models and are not available to OpenAI.
  • Processing: in an EU region, using a regional deployment or a deployment in the EU data zone, so that processing stays within the European Union.
  • Retention: the models do not store prompts or responses. Files and conversation history that AIdoptIQ stores in the service are kept in the EU and deleted as set out in Article 10.2. Content that Microsoft flags as potential abuse may be retained by Microsoft for review, in the same region and by staff in the European Economic Area.

Not in this overview

AI services that AIdoptIQ uses only for work without confidential information or Client Data. For personal data, the arrangements on sub-processors in the data processing agreement apply (Article 12.3).
